Please note that due to a high volume of requests and the current available resources, the anticipated turnaround time for public records requests is six (6) weeks.
Please note when requesting as-builts, narrowing down the request to one or two routes will help to make the records search more efficient potentially leading to a shorter turnaround time.

About NDOT Records Management
The NDOT Records Management Section is tasked with developing NDOT’s records retention schedule, assisting NDOT Divisions with compliance with records management best practices and regulations, and assisting the public in accessing NDOT’s public records in accordance with NRS 239.
The NDOT Records Retention Schedule
The NDOT Records Retention Schedule was established by the Records Management Section in accordance with NRS 239.085. Below you will find, instead of a single schedule, NDOT's Cross Divisional schedule for those records or processes that multiple Divisions deal with and Division specific schedules. The goal of this new structure is making records retention easier to put into practice and update when needed. Please check back for the addition of Division specific schedules or updates to the current schedules.

As updates are approved by the State Records Committee, the new schedule will also be updated here on the website. NDOT’s Public Records Request Program
About NDOT Public Records
The NDOT Public Records team is a part of the Records Management Section. The members of the team are the public’s first point of contact when requesting a public record and the team operates on behalf of NDOT’s custodian of records. The team will assist requestors with the identification, collection, and review of records maintained by NDOT. If a responsive record contains confidential information, the team will redact the confidential information and provide the requestor with a “Privilege Log” in accordance with NRS.
What to Expect When You Submit a Request
When you submit a public records request, you will receive an initial response email from one of our team members within five (5) calendar days in accordance with NRS 239.0107. Due to the volume of requests the NDOT Public Records team processes, our current expected turnaround time to provide response records is six (6) weeks.
During the request process, the Public Records team or the assisting NDOT Division may have questions. Public Records staff will reach out to you if we have questions about your request. If we do not receive clarification within forty-five (45) calendar days, the request will be considered closed.
Guidelines for Submitting a Public Records Request
- The Public Records team utilizes email as the main method of communication during a public records request process. It is beneficial to update your spam filter to accept emails from an @dot.nv.gov extension.
- The most efficient method for submitting a public records request is through the website or by email.
- As the requestor, your contact information must be provided to complete the records request. It must include:
- A mailing address
- A telephone number
- An email
- Typewritten requests are preferred, however, if handwritten, please make sure your request is as legible as possible.

Be as concise as possible in your request. Consider the following when submitting your request which can help expedite the process:
- Provide a Contract, Agreement, or Project (EA) Number. NDOT unique identifiers help the Public Records team more accurately locate the requested records.
- Provide a timeframe/date range for the records you are requesting (i.e. January 1, 2020 to July 1, 2024).This will help the Public Records team pinpoint the records you are requesting. This is especially helpful when requesting permit records.
- When requesting communication (mail, email, or messages) please specify the to, the from, the subject matter, and a timeframe/date range.
Guidelines for Contractors, Consultants, and Vendors
- If you are requesting records for a specific route/project, please request records for said route by providing a beginning/ending cross street or milepost. This is to avoid duplicate requests with overlapping records.
- If you anticipate your request will have a large number of responsive records, please allow for research and review time by the Public Records team. We cannot guarantee to meet your deadlines if not provided adequate time to process your request.
